Application Deadlines

Deadlines are the FIRST of the month, by 11:59 PM AZ time.

Spring semester: January 1, February 1, March 1, April 1

Summer semester: May 1, June 1, July 1

Fall semester: August 1, September 1, October 1, November 1, December 1

Late applications will not be considered. Students will be notified of their award status no later than the 30th of the month. If you do not receive notification of your award within the time-frame specified, it is your obligation to inquire as to the status of your application.

Overview

The GPSA Publication Grant was created to provide funding for students who are planning to publish their work in an Open-Access or Delayed Open-Access format. One purpose of the Publication Grant is to aid students in the coverage of article processing charges (APCs) for students who are in situations where they must pay for a portion or all of their own publication costs. Often, students are required to publish their work in order to make progress in their professional degrees, this program seeks to eliminate some of the cost barriers some students may be presented with.

The GPSA Publication Grant Program is designed to determine whether or not a GPSA grant for publication would be utilized and beneficial for ASU’s graduate and professional students.

Program Guidelines

Eligibility

You must be a current ASU graduate student (degree or non-degree seeking) enrolled in at least one graduate-level credit at the time of application and time of payment of publication fees (summer enrollment not required) to apply. Online students are now eligible for GPSA Publication Grant funding.

The following are eligibility requirements for the Publication Grant Program:

  • A candidate for grant allocations must be enrolled as a graduate student at Arizona State University at the time of application and acceptance who must be seeking to publish their work in Open-Access format. 
  • Work that seeks to publish in journals that appear on the following list https://beallslist.net/#update is generally not eligible for the GPSA Publication Grant, however, you can contact gpsa.research@gmail.com if you believe your work is to be published in a journal on this list and the journal should not be considered "predatory." These requests will be reviewed and decided on a case-by-case basis.
  • Students can be awarded once per semester:  Spring semester: January 1, February 1, March 1, April 1; Summer semester: May 1, June 1, July 1; Fall semester: August 1, September 1, October 1, November 1, December 1
  • Graduate students can apply if they are an author on the publication, students do not have to be the first author to apply. 
  • Only one application is allowed per publication. Ex: If multiple authors are graduate students and are on a single publication, only one is eligible to apply for the Publication Grant for that particular publication in any given cycle. 
  • Applicants are encouraged to submit their applications after submission of their manuscript and prior to the acceptance of their manuscript for publication by the journal but can also submit after they have been accepted for publication. Note that there will be no expedited review for applications that are already accepted. If you have submitted and been accepted for publication you can apply to the Publication grant on the 1st of the month, but will not receive a decision on your application until the 30th of the month that you applied. For this reason, we highly encourage applicants to the Publication program once the submission has occurred.
  • The student must intend to complete their degree at Arizona State University. 
  • Note that you can apply to the Publication grant during the same monthly cycle that you apply to other Research grants offered by GPSA (Jumpstart, GRSP, Athletics).

Funding

Students can apply to receive up to $1,200 of funding to help cover their publication costs resulting from research or projects that have been approved by the student’s dissertation or thesis committee. Applicants may be awarded less than the maximum amount, but not more. We reserve the discretion to award less than the total amount of the Associated Publication Cost.

Students must supply proof of submission to a Journal when they apply for the Publication grant. Submission Fees cannot be covered by the Publication Grant. Successful applicants will have two weeks from the date of the confirmation of the publication of their work in the journal to submit proof of the confirmation of publication to GPSA at gpsa.research@gmail.com.

  • Publication or page charges
  • Color charges
  • Charges associated with Open-Access
  • Other Article Processing Charges (APC) 

Expenses Not allowed Under Award

  • Journal Fees paid initially to submit your work (different than publication fees).

Form of Award Distribution

Students can either opt to have the funds distributed directly to their personal accounts via direct deposit or can pay and be reimbursed later. If students opt to have the funds distributed to their personal accounts, they must pay for the Journal Submission fee using their Publication Grant then must submit proof of payment within 30 days following their payment to gpsa.research@gmail.com

Submitting Receipts For Reimbursement

If you are awarded and are paying for expenses upfront, in order to get reimbursed you MUST submit your receipts within THIRTY calendar days of expenditure and before graduation. If you do not turn in receipts within thirty days of expenditure, you will not be eligible for reimbursement for that expense.
