Event Guidelines

ASU has released guidelines regarding ASU Community of Care protocols for in-person events and meetings in ASU venues. The guidelines are based on current public health recommendations, government policy, and Board and University policy. These guidelines are in effect until further notice.

Plan an Event

The Student Union serves as the primary meeting center on the Polytechnic campus of Arizona State University for registered student organizations, campus departments, and, at limited times of the year, organizations and businesses from the larger community. The Student Union is an ideal setting for meetings, conferences, or special events due to its central location, meeting rooms, event amenities, and catering services.

Scheduling events

Whether you are planning a small meeting or a large conference we are excited to host your event at the ASU Student Union. Our event coordinators are prepared to work with you and assist you in scheduling an appropriate space that's perfect for the kind of event or meeting you are planning. Many of our rooms have flexible set-ups that can include round tables, theater, info fair or other styles to best suit your needs while ensuring the best utilization of the facility. In addition to meeting rooms, Event and Meeting Services schedules dedicated portions of Backus Mall, Lot 10 Basin, and the Citrus Dining Pavilion. Our office is open Monday - Friday from 8 a.m. - 5:00 p.m., with amended hours during school breaks. Because our facilities are in high demand, please contact us as soon as possible to check space and equipment availability.

Please review the religious holiday calendar to ensure that any major campus events you are scheduling do not conflict with important religious holidays.

Additional information:

When making a reservation with Event and Meeting Services, please provide the following information:

  • Preferred date of event (and alternative dates if possible)
  • Time and duration of event
  • Expected number of persons in attendance
  • If food and/or beverage service will be ordered
  • Audio/visual and set-up needs (Please note: An appointment with a staff member may be necessary)

Your reservation will usually be processed within two full working days of your request. A confirmation will be provided when the reservation form has been verified and signed. Late requests for changes, additional rooms or equipment submitted less than 3 full working days of the event will be assessed a late request fee.
