Fees and Billing

Room charges apply to Registered Student Organizations and Arizona State University departments only when there is a registration fee, admission charge, requested donation or other type of fee charged to anyone attending the event, including sponsors and exhibitors.  

In addition, room charges will apply when an event is advertised to the general public and/or there is a reasonable expectation that the majority of attendees will not be current ASU students, ASU faculty, ASU staff or students from another institution of higher education or on a K-12 educational institution. Room and equipment charges always apply to off-campus clients.

The following categories indicate the fee structure where applicable:

  • Category I: Events hosted by ASU Registered Student Organizations in which participation fees are collected or where current ASU faculty, staff, and/or students are not the primary audience
  • Category II: Events hosted by ASU University Departments in which participation fees are collected or where current ASU faculty, staff, and/or students are not the primary audience.
  • Category III: Events hosted by non-ASU entities and individuals.

Yes. Depending on the type of request, fees may apply if the request is not made within our stated timelines. Please review our policies and procedures

After your event has concluded, you will receive an invoice via email. Internal organizations may pay through internal funding sources or electronically. Non-ASU affiliated organizations may pay electronically or via check. If you have any questions, please contact us.

Effective August 11, 2025, the following fees will apply to all ASU departments and offices, regardless if the sponsoring department/office is charging an event attendance fee:

  • A $150 charge will apply to the use of any ballroom projector and/or screen in the La Sala, Arizona, Ventana, Turquoise and Alumni Ballrooms. A $100 fee will be assessed for the use of projectors/screens in the San Carlos and Cooley Ballroom.
  • A $100 fee will be applied to the use of projectors/screens in La Paz, Cochise and Coconino conference rooms. A $50 fee will apply for the use of equipment in Black Canyon, Patagonia, and Arivaca.
  • A $20 fee will be applied to the use of any easels, flip charts, flag sets, dry erase boards and sign holders.
  • A $25 fee will be applied to the use of any outdoor canopies owned by Student Unions and Centers.
